Inspection Templates - Creating Templates & Groups
Available in: Professional and Enterprise
Inspection Templates guide users through inspection workflows. They're made up of components, parts, media templates, specifications, and optionally contain one or more workflow rules and notification rules.
Creating Groups
Template Groups organize related inspection templates by type. Grouping templates allow users to more easily navigate and select the proper template type for inspection. Within each group, a given Category can only be related to one template.
- In the Admin Console, from the Inspection Templates menu, select the Templates and Groups item, then click Create Template Group
- In the popup window that appears, enter the group name and include a description - this will be shown to user
- To Edit the template, click the Action button, change field values and click update
Creating Templates
Before creating a template, be sure you have categories, components and parts created.
- In the Admin Console, from the Inspection Templates menu, select the Templates and Groups item, then select a template group, or create one if needed
- Within the template group, click the Create Template button
- In the Basic Infoscreen, enter or select the following, then click Next
-
Enable Wizard: selecting this option will guide the user through a wizard flow on mobile by default. The wizard uses the order of the related photo template to walk the user through the inspection process. If this is not enabled the user will see the freefrom view, showing a list of components and parts. If the wizard is enabled, the user can toggle between wizard and freeform views.
-
Allow editing of inspections after submission: once submitted, the inspection becomes locked for future edits by default, select this option to override this behavior
-
Template Group: Assign or reassign the template to a different group
-
Template Name: Give the template a descriptive name to help users in navigation and selecting the correct template
-
Category: templates are typically mapped to your organization's (or the default system) category/taxonomy structure. Select one or more categories the template is related to
-
Specifications: Optionally include one or more specifications the user needs to enter during an inspection. Specifications can be used in Workflow rules to determine the visibility of inspection parts
-
Photo Templates: These provide example images to the user to ensure consistency between inspections and are used in the Wizard flow to guide the inspection process
-
Video Templates: These provide example video clips to the user that demonstrate machine functions they should capture
-
Components: These relate the components and related parts with the template. Once one or more components are selected, by expanding the component you'll see the parts list, and have the ability to disable a certain part. To make other changes to the component, do so from the Components menu
- In the Workflowscreen, select the following (optional), then click Next
-
Specification Rules: these toggle the visibility of parts based on user input values or selections; for example for a Specification named Air Conditioning with a required selection of either Equipped or Not Equipped, a user selection of Not Equipped will be set to hide the Air Conditioning Part during the inspection
-
Rating Rules: these enforce user input in the corresponding part's comment field when triggered; for example a rating of less than 3 can require the user to enter a value in the comment field of the corresponding part
- In the Notification screen, select the following (optional), then click Submit to save the template
-
Generic Notifications: these send push or email notifications to select recipients when the inspection is submitted
-
Webhook Notifications: these send an HTTP POST to an endpoint when the inspection is submitted
